A question that comes up early: does the practice admin need the provider's Google password?

No. Here's how it actually works.
The admin sends a setup email from the portal. The provider opens it, clicks complete Google Calendar setup, and signs into their own Google account directly.

Then they pick which calendar to connect from a dropdown and they're finished.

The provider authenticates with Google themselves, so nobody on the admin side handles their credentials. And selecting the calendar individually means a provider with a separate work calendar can connect only that one.

If you've ever tried to connect athenahealth to another system, you've hit this: it asks for your Department ID and Provider ID, and there's no obvious place to get them.

They exist, they're easy to grab once you know where to look, and this shows you.

Our advice — pull both and save them somewhere you'll find later. They come up for integrations, reporting, and support tickets, and it's always at the moment you're trying to finish something else.

Adding a provider is where the connection actually happens.

In the admin portal, click create provider. Give them a name, enter their athenahealth Department ID and Provider ID, and add the Google Calendar email you want connected. Choose a sync direction from the four options, then create.

The part worth knowing: this is per provider. You're not setting one policy for the whole practice. Each provider gets the direction that fits how they work.

One prep note — have your athenahealth Department and Provider IDs pulled up before you start.

How billing works, start to finish.

When you log in, Sporo prompts you to open the billing portal. It'll show your account as unpaid. From there you choose how many seats your practice needs, click proceed to payment, and get handed to Stripe to enter card details.

Payment clears and the full suite opens up for the seats you bought.
Card information goes to Stripe, not to Sporo.

You set the seat count yourself, and access is live as soon as the payment goes through.

Starting a setup series, beginning where setup actually begins: the admin portal account
The portal is the control panel for everything else — connecting athenahealth, connecting Google Calendar, choosing which direction time flows, and deciding how blocked time is held on the schedule.

This first step needs nothing from you but an email. No EHR credentials to track down, no calendar permissions to request from IT. Make the account, then connect things when you're ready.

Block slots only, in one sentence: blocked time freezes the slots that are already there.

Sync runs both directions between athenahealth and Google Calendar. When something needs to be held, athenahealth simply stops accepting bookings for those slots. Front desk sees them as unavailable.

Nothing gets added to the schedule, and your slot template stays exactly as you configured it.

Does your scheduling vendor, patient-facing form, or booking tool integrate with Google Calendar—but not athenahealth?

Sporo Health can use the mapped Google Calendar as the bridge. A booking added to Google Calendar can freeze matching open athenahealth slots. If that event is moved, updated, rescheduled, or deleted, the corresponding availability can move or reopen. Appointments changed in athenahealth can stay aligned with the provider’s Google Calendar.

This reduces manual calendar routing and avoidable double-booking risk while preserving each practice’s configured sync mode, provider mapping, templates, departments, and scheduling rules.
