About the Role
Caring Hands is seeking a highly organised and proactive Rostering Coordinator to play a critical role in delivering continuity of care for our participants.
This is a fast-paced, hands-on position where your primary focus will be ensuring all shifts are filled with the right people, at the right time. Youโll work closely with internal teams and support workers to manage rosters, respond to last-minute changes, and maintain high-quality service delivery for participants.
Key Responsibilities
Rostering & Scheduling
Maintain accurate, rolling rosters within Shift care (CRM)
Allocate support workers based on skills, qualifications, and participant preferences
Ensure all shifts are correctly aligned with service types and client needs
Manage unplanned changes (e.g. staff absences, participant circumstances) with urgency and accuracy
Optimise rosters in line with SCHADS Award requirements and cost efficiency
Collaborate with Program Coordinators and leaders to meet service delivery goals
Timesheet & System Management
Support approval of timesheets and ensure accurate shift documentation
Maintain detailed and compliant records of all roster and timesheet changes
Ensure data integrity across scheduling, attendance, and workforce records
Operations & Communication
Manage inbound and outbound communications with staff and participants
Build strong working relationships while delivering exceptional customer service
Contribute to reporting on utilisation, staffing trends, and operational improvements
About You
Youโre a resilient and solutions-focused professional who thrives under pressure and enjoys working in a dynamic environment.
You will bring:
Proven experience managing rosters/scheduling in a CRM system (healthcare, disability, aged care preferred)
Strong understanding of SCHADS Award rostering principles
Excellent communication and stakeholder management skills
High attention to detail and strong organisational capability
Ability to juggle competing priorities and adapt quickly to change
A genuine passion for the community services sector
Essential Requirements
NDIS Worker Screening Check (mandatory)
Working with Children Check (mandatory)
Strong digital literacy across systems and communication tools
Ability to maintain confidentiality and professional boundaries
