Wellspace Australia is looking for an Administration & Intake Trainee to join our national team while completing a Certificate III in Business.

This is a genuine entry-level opportunity where attitude, motivation, initiative and willingness to learn matter far more than having years of experience.

For us, this role is about finding the right person, someone who is bubbly, enthusiastic, motivated, keen to learn, a self-starter and happy to get involved. Someone who takes pride in doing things well, notices the little things, follows things through and isn’t afraid to ask questions or have a go at something new.

Some basic familiarity with programs such as Microsoft Word, Excel, Outlook or Teams would be advantageous, but it is not essential. More important is being comfortable using a computer, being willing to learn and having the confidence to pick up new systems and processes.

What you’ll learn and gain experience in

* Participant referrals, intake and allocations
* Reception, shared inboxes and customer service
* Administration, documents, spreadsheets and records
* Recruitment and onboarding
* Compliance administration
* Marketing and social media
* Finance administration
* General business operations
You’ll receive comprehensive training, mentoring and ongoing support while completing your Certificate III in Business.

As your skills and confidence grow, you’ll have the opportunity to gradually take on more responsibility and develop experience across different parts of a national organisation.

The position is permanent full-time and can be based anywhere in Australia.
The role is primarily remote, with attendance at team catch-ups, training, events and other in-person activities required from time to time.

1. It’s 9:00am and three things happen at once: the phone rings, an urgent new participant referral arrives in the shared inbox, and your manager has asked you to finish a spreadsheet by 10:00am. What would you do first, and how would you manage all three?

2. Tell us about a time you noticed something that other people had missed, fixed or improved something without being asked, or took responsibility for getting something done. It could be from school, work, sport, volunteering or everyday life. What happened and what did you do?

3. Imagine we teach you how to use a new system or complete a new process today, and next week you need to do it independently and accurately. What would you do to make sure you remembered it and got it right?

There are no perfect answers, and you don’t need to know anything about the NDIS to answer them.

We’re interested in how you think, how you approach problems, your initiative, attention to detail, common sense and willingness to learn.

Wellspace Australia is looking for an experienced Team Leader – Support Coordination & Psychosocial Recovery Coaching to lead, support and grow our Victorian team.

This is a remote role; however, applicants must live in Victoria. Our Team Leaders are required to be based in the state they lead and can work remotely from anywhere within Victoria.

You’ll join an established national leadership structure with strong systems, genuine back-end support and a team that understands the work. Support Coordination, Specialist Support Coordination and Psychosocial Recovery Coaching are all we do.

✨ What you’ll be doing

▪️ Mentoring and supporting experienced coordinators
▪️ Providing practical guidance across complex matters, quality and ▪️ compliance
▪️ Maintaining a small, manageable participant caseload
▪️ Building local relationships and growing the Victorian region
▪️ Helping your team deliver meaningful outcomes for participants

✨ Essential experience

To be considered for this role, applicants must have substantial, direct hands-on experience across NDIS Support Coordination, Specialist Support Coordination and Psychosocial Recovery Coaching.

At Wellspace Australia, we do not appoint Team Leaders or Managers without direct experience in the services they will lead. Our leaders must be able to provide credible, practical guidance across complex matters, quality, compliance and participant outcomes while confidently supporting the day-to-day practice of their teams.

While we value transferable skills and recognise that they are highly relevant across many professions, they do not replace the specialist knowledge and practical experience required for this position. We believe our teams deserve to be led by people who understand the work firsthand, have direct experience performing it and can provide informed, experience-based guidance and support.

Previous leadership, management, supervision or mentoring experience is highly regarded.
