✨ Job Overview
We are looking for a full-time Receptionist to be the first point of contact for our patients and guests. The Receptionist will manage the front desk daily; coordinate communication between patients and staff; and provide administrative support to ensure smooth office operations. The perfect candidate will be “Miss Suzy cream cheese”- social, and bubbly and smiling all the time.
✨ Job Responsibilities
• Patient Interaction: Greet patients upon arrival, register new patients, check in/outpatients, and handle patient inquiries.
• Communication: Answer, screen, and forward incoming phone calls; take accurate messages and handle e-mail inquiries.
• Scheduling: Manage, schedule, and confirm appointments via phone, text and e-mail.
• Financial Duties: Verify and process insurance coverage, collect co-pays, and process payments.
• Administrative: Assist with a range of administrative duties, including data entry, filing, photocopying, preparing meeting materials and/or reports, and supporting the CEO on ad-hoc tasks.
• Office Logistics: Receive, sort, and distribute daily mail and deliveries; monitor and order office supplies.
• Environment Maintenance: Ensure the reception area is consistently clean, professional, and well-stocked with necessary materials.
• Retail Sales: Promote retail products (natural wellness products, teas, etc) and book additional services.
✨ Qualifications:
• Experience: Proven work experience as a receptionist or in a similar customer-facing role (e.g., retail or hospitality).
• Technology: Proficiency in MS Office Suite (Word, Excel, Outlook); scheduling software such as JaneApp; and social media applications (Facebook and Instagram)
• Communication: Excellent verbal and written communication skills with a professional and friendly demeanor.
• Multitasking: Ability to prioritize tasks effectively under pressure while maintaining attention to detail.
• Education: High School Diploma or equivalent (post-secondary education in Office Administration is an asset).
