What happens in your business if the person who “knows how everything works” is suddenly unavailable?

That question came up while I was documenting one of my own FlowOps processes this week:

New client inquiry → active client.

On the surface, onboarding seems pretty straightforward.

But when I mapped the entire process, there were a LOT of moving pieces:

→ Reviewing and qualifying the inquiry
→ Scheduling discovery
→ Preparing and approving the proposal
→ Contract + initial payment
→ Welcome materials and onboarding
→ Setting up recurring billing
→ Adding the client to the email system
→ Creating client files
→ Establishing communication channels
→ Scheduling kickoff
→ Verifying the automations actually worked

Some of it is automated.

Some of it requires human judgment.

And some of it is a tiny manual step that could easily get forgotten because “I just know I need to do that.”

That's exactly why SOPs matter.

A good SOP isn't a giant document that gets created once and forgotten in a Google Drive folder.

It's a way to take the knowledge living inside a founder's or team member's head and turn it into a repeatable process someone else can actually execute.

Because growth gets really difficult when every answer is:

Ask the founder.
Ask the VA.
She knows how to do it.

Behind the scenes at FlowOps today 👀

One of my clients is expanding into wholesale partnerships, including international pharmacy partners.

But “let’s grow wholesale” isn’t an operational plan.

So today I built the infrastructure behind that growth:

→ A partner tracking system with follow-up rules and next steps

A lead magnet sitting in a Google Drive folder isn’t a lead generation system.

Today I built out a complete automated lead nurture funnel for FlowOps Health—and it was a good reminder of how many moving pieces sit behind a seemingly simple:

“Download my free resource.”

Behind the scenes, the system:

→ Captures the lead
→ Delivers the resource automatically
→ Guides them through an interactive Operational Health Check
→ Helps them identify where their biggest operational friction is hiding
→ Continues the conversation through an automated email nurture sequence
→ Gives them a clear next step if they decide they need support

And once it's built?

It can happen without someone manually sending an email, attaching a PDF, remembering to follow up, or wondering where that lead went.

That's the part of automation I love.

Not adding technology for the sake of technology.

Does your business need better systems? 👀

It doesn't always look like a giant operational disaster.

Sometimes it looks like...

→ Everyone coming to you with questions.

→ Spending your day putting out fires.

→ Follow-ups occasionally slipping through the cracks.

→ Knowing you *should* delegate something, but deciding it's easier to just do it yourself.

→ Feeling a little panicked by the thought of adding more clients because you're already stretched thin.

Those aren't necessarily signs that you need to work harder, hire more people, or become better at managing your time.

Well… I officially landed my first client for FlowOps Health. 🎉

There’s something pretty exciting about the moment an idea turns into an actual paying client.

A few months ago, FlowOps Health was mostly an idea in my head, built around something I’ve spent years doing in healthcare: creating systems, solving operational problems, organizing the moving pieces, and figuring out how to make things work better.

But building something of your own is different.

It means learning new skills. Putting yourself out there. Applying for opportunities you’re not 100% sure you’re ready for. And being willing to learn as you go.

This week, one of those opportunities turned into a client contract. 💛

I’ll be helping behind the scenes with operations and business support while getting hands-on experience in areas I’ve been intentionally working to grow.

Is it the finish line? Not even close.

But it is proof that I’m moving.

And right now, I’m really proud of that.

Here’s to the first client, the first contract, and building this thing one step at a time. 🥂
