A little bit of honesty from behind the scenes of running a small business…

Running a small business is incredibly rewarding, but it can also be incredibly challenging, especially at a time when the cost of living is affecting so many people. I completely understand that for most families, keeping a roof over their heads and food on the table has to come first.

The reality, though, is that small business owners are often facing exactly the same pressures.

Many of you know that I’ve always tried to be as flexible and understanding as possible. If someone needed a little extra time to pay, I’d usually say yes. If somebody cancelled and I could squeeze them in elsewhere, I’d do my best. I’ve always preferred helping people to talking about policies.

Unfortunately, over recent months I’ve seen an increase in no-shows, very late cancellations, and situations where payment has been repeatedly delayed or never made at all. As a result, I’ve found myself in the uncomfortable position of having to chase people for payment for sessions that have already taken place.

If I’m honest, I hate doing that.

I became a therapist because I wanted to help people, not because I wanted to spend my evenings sending payment reminders and worrying about whether work I’ve already done will ever be paid for.

So after much thought (and after many people telling me I should have done this a long time ago!), I have introduced a new cancellation, rescheduling and advance payment policy.

These changes haven’t been made out of greed, nor because I don’t understand that people sometimes struggle. They’ve been made because Reflexions is not only my passion, it’s also my livelihood. Just like every other family, I need to be able to pay my bills, support my family, and keep providing the service that so many people rely on.

For those who already attend sessions, pay on time, and respect appointments, nothing really changes. In fact, thank you. Your support, loyalty and trust are what keep Reflexions going.

Sometimes being kind also means having healthy boundaries, and that’s something I’m still learning.

Important Update: Advance Payment Policy

To ensure Reflexions Therapy Services can continue providing high-quality support to children, young people, and adults, some changes have been made to the booking and payment process. These updates have been introduced in response to an increase in late cancellations, missed appointments, and administrative time spent managing outstanding balances. The aim is to create a fair and sustainable system that allows more time to be spent supporting clients and less time managing missed appointments and unpaid sessions.

To help appointments run as smoothly as possible and to reduce the administrative time spent sending reminders and chasing outstanding balances, Reflexions Therapy Services will be moving to an advance payment system.

Effective immediately all appointments must be paid for either:

• At the time of booking, or
• Via a payment link sent prior to your appointment.

Payment must be received before the appointment takes place. Unfortunately, sessions cannot go ahead if payment has not been received in advance.

This change allows me to spend less time managing invoices and payment reminders, and more time focusing on supporting the children, young people and adults who access the service.

I appreciate that circumstances can sometimes change unexpectedly. If you are experiencing genuine financial difficulties, please contact me before your appointment to discuss your options.

Cancellation & Rescheduling Policy

At Reflexions Therapy Services, I understand that life happens and that unexpected circumstances can arise. I also appreciate that attending appointments can sometimes be particularly challenging for children and young people, especially those who are neurodiverse, experiencing anxiety, or finding changes to routine difficult.

However, when an appointment is booked, that time is reserved exclusively for you and cannot usually be offered to another client at short notice. As a small independent business, late cancellations and missed appointments have a significant impact on both the running costs of the service and my ability to support other clients who may be waiting for appointments.

For this reason, a minimum of 48 hours’ notice is required for cancellations or changes to appointments. Appointments cancelled with less than 48 hours’ notice, or missed without notice, will be charged at the full session fee.

Where possible, I am always happy to reschedule appointments without charge if an alternative session can be arranged within the same week. However, this cannot be guaranteed and is subject to availability.

Please note: A child’s reluctance, anxiety, distress, or refusal to attend an appointment does not automatically waive the cancellation fee, as the appointment time has still been reserved and cannot usually be filled at short notice. For many children, these feelings are part of the difficulties that bring them to therapy, and it is not uncommon for a child who is reluctant to attend beforehand to engage well once they arrive.

Thank you for your understanding, respect, and cooperation. These boundaries help ensure that Reflexions Therapy Services can continue providing a reliable, sustainable, and accessible service to all clients.

We had an amazing day meeting lots of lovely people, chatting about Reflexions Therapy Services and Jellyfish Club, and raising funds through our fidget charms and jewellery.

Oscar thoroughly embraced his role as ship’s captain (especially when treats were involved!).

Reflexions Therapy Services will be at Portland Pirate Day with a range of handmade fidget charms, sensory jewellery, anti-anxiety tools and fidget accessories available to purchase.

Every item has been lovingly made to help promote emotional wellbeing, mindfulness and self-regulation, whilst also raising funds for a cause close to our hearts.

All proceeds from sales will go towards supporting Reflexions Therapy Services and Jellyfish Club, helping us to continue providing resources, activities and support to children, young people and families, including those who may otherwise find it difficult to access our services.
