JOB OPPORTUNITY: FRONT OFFICE CUM ADMIN ASSISTANT
Pulse Healthcare Limited, a medium sized company in the medical industry is looking to fill the above position immediately.
Are you highly-skilled and self-motivated with a friendly and easy going personality? You are the person we seek to join our team. In this position, you will play a key role as the ‘face’ of Pulse Healthcare for all visitors and will be responsible for the first impression we make. You should be comfortable undertaking a variety of administrative and clerical tasks in the office, including managing the front office, filing, answering the phone, organizing documents, amongst other activities. Reliability and a strong work ethic combined with great communication skills are a must, as well as familiarity with all necessary office equipment, software, and procedures.
This position will report to the Finance & Administration Manager
Key Responsibilities:
• First point of contact for all customers, business partners and visitors, hence offer welcome service and assistance
• Provide administrative support across the company
• Coordinate front-desk activities, including distributing correspondence
• Ensure reception area is tidy and presentable
• Answer, screen and forward incoming phone calls and redirect calls to appropriate offices as well as take messages
• Provide basic and accurate information in-person and via phone/email
• Control access to the offices via the reception and maintain office security by adhering to safety procedures
• Maintain a log of all deliveries and dispatches
• Manage stock of all office stationery and requirements
• Perform other tasks assigned by the management
Requirements:
• Diploma in business administration/front office
• Proven work experience as a Receptionist/Front Office/customer care representative
• Proficiency in Microsoft Office applications
• Ability to effectively use and maintain office equipment
• Professional attitude and appearance
• Excellent written and verbal communication skills
• Resourceful and proactive with excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service orientation
