LevelUp Physical Therapy & Wellness is a growing, patient-centered outpatient physical therapy practice seeking an experienced and motivated Office Manager to join our team. We are looking for someone who is organized, dependable, detail-oriented, and passionate about delivering an exceptional patient experience while supporting efficient clinic operations.
This position plays a vital role in ensuring the smooth day-to-day function of our practice and serves as the primary point of contact for patients, providers, and insurance companies.
Responsibilities
📍Oversee daily front office operations and patient flow
📍Verify insurance benefits and obtain authorizations as needed
📍Manage insurance billing, claims submission, payment posting, and denial resolution
📍Monitor accounts receivable and assist with collections when necessary
📍Schedule patient appointments and maintain provider schedules
📍Answer phones, respond to patient inquiries, and provide exceptional customer service
📍Maintain accurate patient records and ensure HIPAA compliance
📍Coordinate communication with referring physicians and healthcare providers
📍Manage office supplies and administrative processes
📍Assist with onboarding, training and managing of administrative staff
📍Support clinic growth initiatives and operational efficiency projects
📍Generate reports and assist with tracking key clinic performance metrics
Required Qualifications
📍Minimum 2 years of medical office management experience preferred
📍Insurance verification and medical billing experience required
📍Knowledge of commercial insurance, Medicare, workers' compensation, and authorization processes
📍Strong understanding of medical terminology and healthcare documentation
📍Excellent organizational and multitasking skills
📍Strong communication and customer service abilities
📍Proficiency with electronic medical records (EMR) systems and 📍Microsoft Office
📍Ability to work independently while collaborating effectively with clinical staff
Preferred Qualifications
📍Experience in an outpatient physical therapy, rehabilitation, chiropractic, or orthopedic practice
📍Familiarity with CPT codes, ICD-10 coding, and physical therapy billing procedures
📍Experience with revenue cycle management and accounts receivable follow-up
📍Leadership or supervisory experience
