Hiring a new provider, or thinking about taking a new insurance plan? Before you can bill that plan, the provider has to be enrolled with it. Every payer has its own application, and each one wants licenses, NPI, malpractice info, practice locations and more. Leave something out and it can sit for a while.

A mistake we see more often than you'd guess: a provider's license or DEA registration quietly expires because the renewal notice went to an old address. Then the schedule has to be cleared, and visits during the gap may not be billable.

Got a new provider starting soon? Ask for their paperwork the week the offer is signed, not the week they start. Licenses, DEA, board certification, malpractice certificate, a CV with month and year dates, and their CAQH login if they have one. Keep it all in one folder with the expiration dates written down.

Opening a new office? Here's a mistake that can cost a practice real money. Your providers may already be enrolled, but many payers also need the new address on file. If it's missing, claims from that location can be denied or held until it's fixed.

Practice managers, here's an easy one for this week. Look up each provider's NPI record in NPPES and make sure the address, phone and specialty are still right. Changes are supposed to be made within 30 days, and it's easy to miss after a move or a new location. A mismatch can slow down enrollment work later.
