When choosing a platform to host your next digital event, check whether it offers easy integration with third-party CART captioners.

Captions are a critical part of your attendees' overall experience. By choosing a platform that integrates with CART captioning, you can leverage accurate, real-time captions, backed by an expert behind the scenes to ensure your content is impactful.

Using a captioning URL is a great accessibility option. It allows viewers to customize their captions, such as font size and language. The captions open in a separate browser window, making them easy to access across devices.

No platform or captioner can produce accurate captioning with a poor audio feed. During the planning process, ensure there is a clean, direct audio path to your captioner, and run a test.

Pro tip: Don’t stop at setting up the audio. Run a full technical rehearsal with captioners, event organizers, production teams, and IT. Testing ahead of time helps catch audio issues and unexpected problems before you go live.

At Caption Pros, we partner with organizations early to provide technical expertise and hands-on testing.

Each platform handles CART captioning a little differently, and the best choice really depends on your event type, audience, and technical setup. While platforms like Zoom, Webex, and Microsoft Teams all support CART integration, the setup and requirements vary.

At Caption Pros, we partner with event organizers early in the planning process to help provide expert recommendations on platform capabilities and work directly with your AV and production teams to determine the right captioning workflow.

Zoom is one of the most widely used platforms for virtual events and webinars. Offering easy-to-use meeting setups and accessible captioning workflows, this platform gives hosts control over how captions are delivered and allows attendees to customize their experience.

What type of captioning does Zoom support?

Third-party captions: Zoom allows third-party closed captions via an API, or vendors, like Caption Pros, can directly input captions into the Zoom meeting.
Auto-generated captions: Hosts can enable automated captioning directly within webinar settings.
Manual captions: Hosts can assign someone to manually type captions during the meeting.
Postproduction content: Event organizers can export a transcript for post-event content
Caption Pros tip:

If you choose to use Zoom’s third-party CART captioning option, your host and captioner should perform a pre-event check. Confirm your plan type, make sure your captioners have the correct permissions, and the CART connection is configured.

For many events, especially public-facing webinars, conferences, educational programs, and livestreams, captioning may be required to meet ADA, WCAG 2.1, and Section 508 guidelines.

Most organizations choose human captioning for events that require reliable realtime accuracy or accessibility compliance.

Thank you so much for your review! We are so glad our captions were able to benefit so many of your event attendees!

"Oh my goodness, I was logging in to sing your praises! Things went superb and I'm so grateful I found your company. I was running late due to traffic and issues with the sharing on the room's TV, but the 15-minute prep time (plus having all the info ahead of time about what to display) was just enough to get situated. The captions were supremely accurate (even during our harder-to-hear audience Q&A) and benefited so many attendees including a few panelists who we didn't realize had auditory processing disorders." - captioning customer

When you’re hosting a virtual meeting, livestream, or webinar, the platform you choose matters. Many event organizers evaluate platforms based on video quality or ease of use, but caption compatibility and integration options are equally important. Platforms like Zoom, Webex, and others all handle captions differently. Each platform offers different levels of support for CART captioning integrations, workflows, and AI-generated captions. And while built-in ASR capabilities enable basic event accessibility, ASR can often fall short of producing accurate captions. ASR struggles when there are multiple speakers, significant background noise is present, or highly technical industry jargon is required. When choosing the right platform for your digital event, understanding what each platform offers and its limitations can help you make an informed decision.

In this guide, we’ll break down:

- The most popular digital streaming platforms and their captioning capabilities
- Why you shouldn’t just default to built-in ASR captions
- Why in-platform CART captioning capabilities matter
- Best practices across platforms
- Platform FAQs
- Why choosing the right captioners matters too

A stenograph machine is a chorded keyboard that only has 22 keys. Instead of typing letter by letter like on a QWERTY keyboard, Caption Pros captioners use machine shorthand to “write” phonetically.

Much like playing a musical instrument, captioners press specific combinations of keys to represent sounds or syllables. These key combinations are translated against a database in specialized software to create English words. With the help of stenographs and software, captioners can deliver real-time captioning with 99%-plus accuracy.
